Approval is required for Club’s to run an ‘Open’ Meet. Approval is NOT required for Club’s to run a ‘Restricted’ Meet.
Meet approvals will not be given if there is a conflict with a Swimming NSW Meet. Address enquiries to the Competitions Convenor.
MetSEA Meet Approval Process (11 August 2024)
1. DEFINITIONS:
OFFICIAL MEET: Is a meet, either Restricted or Open, that has the results approved and verified by the Area and Swimming NSW and the meet shows as such in Swim Central. Times from an official meet are deemed “Official Times” recognised by Swimming NSW. These times can be used to enter Official Meets or any other meet the requires an Official Time. The meet must have, as a minimum, a current accredited Starter and Referee.
OFFICIAL TIME: Is a time obtained at an Official Meet.
RESTRICTED MEET: Is a meet/club night that is run by a Club for the primary purpose of providing its own swimmers an opportunity to archive an official time. A club may allow/invite other clubs to participate, however, it is generally not open to all clubs and is classified as one of the following:
Club Race Day,
Club Time Trial Club,
Club Championships.
Note: The Swimming NSW meet levy ($1.50 per each uploaded result) will apply to the meet, if more than 10 swimmers from outside the Club race.
OPEN MEET: Is a meet run by a club where entries are open to swimmers from the host club as well as swimmers registered with Swimming Australia, and is generally classified as one of the following types of meets, the meet may have qualifying times.
Development/Mini Meet
Qualifying/Open Meet
These meets must have, as a minimum, 2 Referees, 1 JOS and 1 Starter. Depending on the length of the meet additional officials may be required.
2. MEET TYPE & PROCESS:
OPEN MEETS: Check for available dates, these are on the Area’s website. Complete the Meet Approval Form available on website. Forward completed form and a copy of the program to competition.metsea@gmail.com
Early SUMMER SEASON MEETS from 1st September to 31st December: All applications must be received by 1st September.
Later SUMMER SEASON MEETS from 1st January to 31st March: By 1st November.
WINTER SEASON MEETS: Prior to the beginning of the Winter Season. By 31st March.
RESTRICTED MEETS: Clubs are not required to seek prior approval to run a Restricted Meet, however it is expected that a list of proposed Restricted Meets is provided to the METSEA Competitions Committee at the beginning of each season (via email).
3. RESULTS:
All results, for an official meet, must be verified by the Area.
To be sent to the Competition Coordinator (competition.metsea@gmail.com) within 5 days of the meet are the following
- Backup file
- Results file
- Event file
- For Open or Interclub meets a results pdf by either Team or Individual,
- The name of the Referee, Starter, and Meet Manager operator are to be included,
along with any additional officials you may have had in attendance.
If you are running 25m (or less) races the number of how many results are uploaded for those events. For example, if you run a 25m race with 6 swimmers, please indicate that you have uploaded 6, 25m times
Meets must be listed on Swim Central, and results must be uploaded for area approval.
Any swimmers marked as “unmatched” should be corrected; if they are only trialling, please note this in your email to the competition coordinator.
For members with suspected duplicate profiles, include the email address associated with the swimmer’s Swim Central account so that SNSW can resolve the issue.
WELLBEING OF OFFICIALS: MetSEA is recommending that Meets of 1 session per day be limited to 4 hours each, and for 2 sessions per day be limited to 3 hours each
